Right now, peak season probably feels comfortably far off. The warehouse has room to breathe, orders are steady, and the IT that runs your operation is doing its job quietly in the background. That’s exactly why this is the moment to look at it. The order-management system that crawled during last November’s rush, the server that’s a year older than it was, the backup nobody has actually tested: those are summer problems, even though they only bare their teeth in Q4.

For a wholesale distribution business, the systems are the operation. Your ERP, your warehouse management system, the EDI links to your trading partners, the scanners on the floor, the e-commerce orders flowing in: when one of them stalls during your busiest week, everything downstream stalls with it. The quiet stretch you’re in now is the best window all year to make sure that doesn’t happen.

Why “it works fine most of the year” is the trap

IT that’s perfectly adequate at normal volume can hide single points of failure that only show up under peak load. The underlying issue is almost always reactive IT: someone fixes what breaks, but no one is planning for the load that’s coming. During peak, downtime isn’t an inconvenience. It’s missed carrier cutoffs, orders that don’t ship, and customers who decide to try a competitor. For distributors with big retail or grocery partners, it’s also compliance penalties: a late advance ship notice or a missed delivery window can trigger a chargeback under your trading partner’s vendor agreement, so an hour of EDI downtime quietly turns into a deduction on an invoice weeks later.   • Cloud where it earns its place - Microsoft 365 and Azure can take pressure off aging on-prem systems and scale up for peak without a capital project, when the migration is done properly.
  • A plan, not just a fix list - This is where a virtual CIO comes in: someone looking a quarter or two ahead at your growth, your peak, and your budget. That’s the difference between truing up your Microsoft 365 licenses for the seasonal team in August and scrambling for them in November, or deciding on a second internet circuit on a quiet afternoon instead of after the first one drops mid-shift.

What a calm peak looks like
